TERMS AND CONDITIONS OF MEMBERSHIP

These Terms and Conditions of Membership ensure that:

  1. Clarity & Transparency – Members fully understand their rights, responsibilities, and expectations within the club.
  2. Fair & Consistent Policies – Membership fees, payment policies, and attendance tracking are structured to maintain fairness and club sustainability.
  3. Commitment to Discipline & Values – Members adhere to the Tenets of Taekwondo (etiquette, modesty, perseverance, indomitable spirit, and self-control), fostering respect and discipline.
  4. Safety & Accountability – Members acknowledge their responsibility for their own safety, valid British Taekwondo insurance, and compliance with club safety protocols.
  5. Structured Attendance & Progression – Clear expectations for attendance logging, grading, and belt promotion to support continuous improvement.
  6. Financial Stability & Membership Integrity – Ensuring proper payment methods (standing orders), freezing options, and notice periods to prevent financial disruptions.
  7. Exclusive Membership Benefits – Continuous membership provides access to training resources, events, communication platforms, and performance tracking tools.
  8. Legal & Ethical Protection – Liability disclaimers protect the club while ensuring members understand the risks associated with martial arts training.
  9. Efficient Communication & Updates – Members are informed about club policies, updates, and changes to ensure a well-organized and professional training environment.

By agreeing to these terms, members commit to respecting the club’s rules, maintaining a high standard of conduct, and supporting their own personal development in Taekwondo.

1. Membership Eligibility

1.1. Membership is open to individuals of all skill levels, [minimum age 8 years old], who meet the club’s health and fitness requirements.

1.2. Members under the age of 16 must have consent from a parent or legal guardian.

1.3. The club reserves the right to accept or decline any membership application at its discretion.

2. Membership Fees & Payments

2.1. Membership fees must be paid in full as per the selected plan (monthly, quarterly, or annually).
2.2. Payment is due on the agreed date. Late payments may result in suspension or termination of membership.
2.3. Membership fees are non-refundable. Members are free to either leave the club or freeze their membership. See 2.5. and 2.6..
2.4. Additional fees may apply for special events, belt testing, or private lessons.

2.5. Standing Order Payment Policy

  • Any change to the standing order payment without prior agreement will be considered a breach of our terms and conditions.
  • This will result in the membership being null and void, and the member will be considered as having officially left the club with all benefits immediately revoked.

2.6. Membership Freeze Option

  • Members may freeze their membership for up to three months per year to retain their place in the club.
  • This option bypasses the leave/rejoining process and is available at £20.00 per month.
  • Members wishing to freeze their membership must provide one month’s notice along with confirmation of our response.

3. Notice on Membership Changes

  • Members must provide one month’s notice if they intend to leave or freeze their membership.
  • This notice must be submitted in writing and confirmed by the club.
  • Failure to provide adequate notice will result in the full month’s payment being due as per our policy.

4. Member Conduct & Discipline

4.1. Members must uphold and adhere to the Tenets of Taekwondo:

  • Etiquette
  • Modesty
  • Perseverance
  • Indomitable Spirit
  • Self-Control
    4.2. Bullying, harassment, or any form of discrimination will not be tolerated and may lead to immediate termination of membership.
  • 4.3. Members must follow the instructions of instructors and appointed senior grades and abide by safety regulations during training.
  • 4.4. Club property, equipment, and facilities must be used responsibly. Any damage caused by negligence will be charged to the responsible member.
  • 4.5. Unauthorized coaching or solicitation of members for personal training or other martial arts clubs is strictly prohibited.

5. Training, Safety, and Injuries

5.1. Members must wear appropriate Taekwondo uniforms and protective gear during training.
5.2. Members are responsible for disclosing any pre-existing medical conditions before participating in training.
5.3. It is the duty of every student to ensure their insurance with British Taekwondo is valid and up to date.
5.4. In case of injury, members must notify the instructor immediately and seek medical attention if required.

6. Attendance & Participation

6.1. Regular attendance is encouraged for progress and promotion. A minimum attendance requirement may apply for belt testing.
6.2. If a member is unable to attend for an extended period, they should notify the club in advance.
6.3. The club reserves the right to modify class schedules, training locations, and instructors as necessary.
6.4. It is the student’s sole responsibility to log their attendance using the Attendance App when attending class. Members can log in either via:

  • Their mobile device and the Performance App, or
  • Scanning their ID QR card, which they will receive upon sign-up.

7. Belt Testing & Promotions

7.1. Promotion tests are held periodically, and members will be invited based on attendance, skill level, and instructor recommendation.
7.2. Belt testing fees must be paid before participation in the test.
7.3. Promotion is not guaranteed and is based on performance, discipline, and readiness as assessed by the instructors by the Grading Syllabus.

8. Competitions & Events

8.1. Members are encouraged to participate in club-sponsored events, seminars, and competitions.
8.2. Participation in external competitions must be approved by the club, and members must represent the club professionally.
8.3. Any misconduct during competitions may result in disciplinary action.

9. Termination & Suspension of Membership

9.1. The club reserves the right to suspend or terminate membership for violations of these terms, including misconduct, non-payment, or repeated failure to follow safety instructions.
9.2. Members may voluntarily terminate their membership with written notice. Refunds will not be provided for remaining membership periods unless under exceptional circumstances.
9.3. Suspended members may be reinstated at the club’s discretion after a review of the situation.

10. Membership Benefits

We value continuous membership and offer the following exclusive benefits to our members:

Exclusive access to our WhatsApp group for updates, training tips, and direct communication with instructors.

Full use of our Members Only website, featuring resources, instructional content, and club announcements.

The Performance App, designed to track progress, set goals, and enhance training.

Participation in Taekwondo training, seminars, grading opportunities, and competitions to support skill development and progression.

11. Use of Media & Personal Data

11.1. The club may take photos and videos during training and events for promotional purposes. A member can complete and submit a Media Consent Form.
11.2. Members’ personal information will be kept confidential and used only for administrative and club-related purposes until such times as they leave the club.

12. Liability Waiver

12.1. By signing up for membership, members acknowledge that martial arts training involves physical activity and potential risks. You are strongly advised to read and understand yourinsurance policy with British Taekwondo.

13. Amendments to Terms & Conditions

13.1. The club reserves the right to amend these terms and conditions at any time. Members will be notified of significant changes in advance.
13.2. Continued participation after an amendment constitutes acceptance of the revised terms.
